Special conference accommodation rates have been negotiated with a selection of hotels and apartments within close proximity to the conference venue. To obtain the discounted rates offered below, accommodation should be booked through the official conference accommodation booking agent, Organisers Australia.
As this is a peak period for travel to the Gold Coast, you should consider booking your accommodation early. All rooms will be released from sale on 3 February 2012. Organisers Australia will accept accommodation bookings after this date, but cannot guarantee that accommodation will be available at the conference hotels/apartments or at the conference preferred room rates.

TERMS & CONDITIONS
Payments & Deposits:
Cheque Payments & Deposits (Jupiters Gold Coast, Sofitel, Crown Plaza and Meriton Apartments)
In order to secure a reservation, all accommodation bookings must be accompanied by a minimum deposit of one (1) night's room rate. The deposit is non-refundable and will be forfeited if you do not arrive on the date for which you have booked. Please make deposit cheques payable to “Organisers Australia”.
Cheque Payments & Deposits (Belle Maison & South Pacific Plaza)
In order to secure a reservation, all accommodation bookings must be accompanied by the full amount of accommodation booked. Please make deposit cheques payable to “Organisers Australia”.
Cheque Payments & Deposits (all hotels and apartments)
If payment is made by credit card, no monies will be deducted by Organisers Australia, however your credit card details will be forwarded to your chosen accommodation venue to confirm your booking. If the credit card is in the name of a person other than yourself, it will be necessary for the cardholder to complete the payment summary on the booking form. Delegates must settle the balance of their account with the accommodation venue.
Cancellation Policies:
Jupiters Gold Coast: All rooms cancelled between Saturday 4 February and Sunday 19 February 2012 will incur a 50% cancellation penalty of the accommodation total. All accommodation including no-shows cancelled after Monday 20 February 2012 will incur a full 100% cancellation fee for all nights cancelled.
Sofitel Gold Coast: All rooms cancelled within 14 days of the conference will incur a cancellation fee of one (1) night’s accommodation for every room cancelled.
Crowne Plaza: For all rooms cancelled within 30 days of arrival, one (1) night’s accommodation will be charged.
Meriton Apartments: For all rooms cancelled within 30 days of arrival, one (1) night’s accommodation will be charged. No-shows will incur a full 100% cancellation fee for all nights booked.
Belle Maison: Rooms cancelled prior to 30 days of arrival will receive a full refund less a $50.00 cancellation fee. For rooms cancelled within 30 days of arrival a $200.00 cancellation fee will apply.
South Pacific Plaza: Bookings cancelled prior to seven (7) days of the date of arrival will incur a $50.00 non refundable booking fee. For bookings cancelled within seven (7) days of arrival, the full amount of the accommodation will be charged.
Organisers Australia will not take any responsibility for cancellations or no-shows.
Changes and Cancellations:
All changes to or cancellations of reservations must be notified to Organisers Australia in writing either via email (

) or to PO Box 6026, Mitchelton QLD 4053 at least 24 hours prior to your nominated arrival date. DO NOT notify the accommodation venue directly. Please be aware that cancellation penalties do apply – please see above for individual cancellation policies.
Pre Authorisation of Incidental Charges:
It is common hotel policy to request a credit card on arrival to cover incidentals or damage to hotel or apartments. This is classified as a "Credit Card Pre Authorisation" and permits the hotel/apartment to freeze an amount of money against your credit card to cover incidentals.
Jupiters Gold Coast: Upon check-in, guests will be requested to present either a credit card for authorisation or a $200 refundable cash bond for any incidental charges.
Sofitel Gold Coast: A credit card imprint or $100 cash deposit will be required upon check-in to cover incidentals.
Crowne Plaza: A credit card imprint or a $100 cash deposit will be required upon check-in to cover incidentals.
Meriton Apartments: The amount authorised is between $100 and $300 depending on the type of apartment reserved. Funds will be returned to your credit card after your departure (this may take 5-10 working days depending on the credit card financial institution). If a credit card is not provided, a cash deposit of $200 to $1,000 is required, depending upon the type of apartment booked. Valid photo ID is required from all guests upon arrival.
Belle Maison & South Pacific Plaza: Credit card pre-authorisation of $200 per apartment is required. Funds will be refunded to your credit card on departure after apartment has been checked.

Airline Bookings
Coolangatta Airport services the Gold Coast with regular direct flights from most capital cities. The airport is 30 minutes south of the Gold Coast Convention & Exhibition Centre and Broadbeach accommodation. Alternatively Brisbane Airport is just a one hour drive to Broadbeach.
